Job Summary

A Financial Advisor Assistant (FAA) supports Financial Advisors (advisory team) in serving existing clients, allowing our advisors to focus more time and energy on deepening client relationships. This role provides administrative and operational support, working with advisors to coordinate schedules, financial planning, and other client deliverables. An FAA must have strong critical-thinking skills and work well within and across teams. A qualified candidate is a clear communicator, detail-oriented, organized, has a high degree of follow-through, handles multiple tasks efficiently, and thrives in a fast-paced working environment where every day is different.

Duties and Responsibilities

75% Administrative Support & Client Service

  • Provide dedicated and administrative support to Financial Advisors (advisory team) who serve primarily retired clientele
  • Responsible for all aspects of pre-client meeting activities such as scheduling, confirmation calls, agendas, and meeting materials as well as post-client meeting tasks such as meeting notes in CRM, setting tasks, follow-up communication to client
  • Assist Financial Advisors with client support and time management
  • Update and use Client Relationship Management System (CRM) to handle tasks, scheduling, and follow-up
  • Schedule management and calendar maintenance
  • Assist with email and phone correspondence as needed
  • Handle service requests and account inquiries
  • Keep client folders up-to-date and organized in electronic filing system (NetDocuments)
  • Coordinate and maintain client service agreement with advisory team


25% Financial Planning Support

  • Track and manage the financial planning process for advisory team
  • Manage and input data into financial planning software
  • Generate financial planning reports
  • Research financial planning questions
  • Attend client meetings: capture notes from meeting and include action items for follow-up; enter notes and action items in CRM, and manage completion


  • Bachelor’s degree and 1+ years of experience in administrative support that directly aligns with the specific responsibilities for this position
  • 1 year of para-planning/bookkeeping/accounting experience is a plus
  • Highly proficient in MS Office (Outlook, Word, Excel)
  • Experience with eMoney, Tamarac/AdvisorView/other CRM a plus
  • Excellent communication and interpersonal skills
  • Highly organized, process-driven, accountable, strong critical thinking skills and attention to detail, ability to prioritize and follow through on projects effectively
  • Proactive, patient, warm and friendly contributing team player able to work in a fast-paced environment
  • Drives performance targets to completion
